Core Responsibilities
- Process vendor invoices and payments approved by the Board
- Assist with the preparation of the annual budget
- Coordinate with accountants and auditors when required
- Maintain the Association’s official records and documents
- Assist with meeting notices, agendas, and minutes
- Maintain homeowner and tenant contact information
- Manage Association correspondence and administrative tasks
- Obtain proposals or estimates for maintenance and repairs
- Coordinate with vendors and contractors for community services
- Schedule maintenance work approved by the Board
- Ensure vendors provide proper licenses and insurance
- Assist the Board in complying with governing documents and Florida HOA laws
- Work with the Association’s legal counsel when requested by the Board
- Assist with violation notices and rule enforcement
- Maintain required records for audits or official inspections
- Respond to homeowner inquiries when appropriate
- Send official notices such as meetings, assessments, or violations
- Provide information to homeowners as permitted by law
